By the end: One trustworthy planning price or a short missing list, with the next question and return date already clear.
A familiar day · Composite example
Maya has to publish the price tomorrow Maya is pricing a 14-person walking trip. The hotel quote is in EUR, the coach is in GBP, and her company sells in USD. One line says '2 x guide' without saying whether that means two people or two days. She is tempted to make the spreadsheet total and sort it out later.
What helps: This session helps her keep the safe numbers, circle the uncertain ones and send three precise questions. A defensible price is useful; knowing why she cannot price yet is useful too.
Names and identifying details are invented. The situation reflects common group-tour work. Put these three things beside you One real upcoming departure—not a sample you will never operate. The latest supplier quote, budget spreadsheet or cost email you currently trust most. Your normal selling currency and the group size you expect to sell.
1 Name the decision 2 minutes Write down what this price must decide: whether to launch, what to charge, or whether a supplier change still works. Done when: The price has one clear purpose. 2 Bring in the current source 3 minutes Use the newest quote or budget. Keep earlier versions nearby, but do not combine them silently. Done when: You can name which document is the current baseline. Open Viabasis and choose Bring in an existing departure → 3 Give every cost its meaning 4 minutes Mark each amount as per person, per room, per group, per guide or per departure. Add the quantity when a rate repeats by night, day or service. Done when: No material amount is being multiplied by guesswork. 4 Resolve currencies and guides 4 minutes Choose the selling currency, record a dated rate for each supplier currency, and identify whether guide costs belong to the owner, company staff, local guides or drivers. Done when: Every included cost can be converted once and every guide cost has an owner and scope. 5 Test the group sizes 4 minutes Compare the minimum viable group, the group you expect, and the maximum you can operate. Check break-even before choosing a selling price. Done when: You know which group size carries the risk and which one supports the target margin. 6 Save the next return point 3 minutes Turn every blocking gap into a supplier question or task with an owner and date. Save the departure before leaving. Done when: You have a price you can defend or a short list that tells you exactly why you cannot price yet.
