Pre-registration or open booking: choose the right promise

A traveller should never click 'Book now' and discover you were only collecting names. Choose the invitation that matches what your team can honour today.

By the end: A campaign promise that matches the departure's real stage and tells travellers exactly what happens next.

Pre-registration measures interest

Pre-registration is useful while dates, price or supplier commitments are still being completed. Ask only for the information needed to follow up and say clearly what the traveller should expect next.

An expression of interest is not a confirmed place. The page, acknowledgement and internal records should use the same language.

Open booking makes a fuller promise

Open booking is appropriate when the traveller can review the dates, price, inclusions, material conditions and registration steps. The operator must also be ready to process the resulting work.

Opening because the marketing calendar says so can create manual corrections, conflicting messages and avoidable support.

Use the signal to make a decision

Define what a useful pre-registration result means before publishing. Ten names may be encouraging, but the decision depends on conversion history, minimum group size, acquisition source and time remaining.

Record the result against the departure. Demand evidence belongs beside the budget and supplier exposure it is meant to justify.

  • Campaign source and audience
  • Number of qualified expressions of interest
  • Minimum viable and planning group sizes
  • Date of the next launch decision
  • Owner and promised follow-up

Keep campaign and operations language aligned

The website, email, form acknowledgement and staff reply should name the same stage. If the departure moves from pre-registration to booking, update every route a traveller can still encounter.

This protects trust and gives the team one shared view of what has been promised.

Put the lesson to work

Give one real departure a calmer home.

Bring the spreadsheet, supplier emails and next actions together, so the answer is there when you come back. Viabasis is invitation-only during the pilot.
